n8n is the tool we reach for the moment a workflow has real logic in it: branching, loops, a bit of custom code, calls to your internal APIs, an AI step or two. It gives you what Zapier and Make quietly start charging a fortune for as your volume climbs, and it’ll happily run on your own server when the data isn’t allowed to leave the building.

It’s also very easy to build something fragile in n8n. The workflow that sails through the demo and then face-plants the first time an API hands back something it didn’t expect. We build the other way (error workflows, retries, careful credential handling, exports kept in version control) so whatever we hand over can be picked up and maintained by someone who isn’t us.

We work with self-hosted setups (Docker, a reverse proxy, backups, queue mode once the volume demands it) and with n8n Cloud. Coming off Zapier or Make? We’ll migrate what you’ve already got running and knock the monthly bill down while we’re at it.

    Retries, fallbacks and alerts go into the first version, not bolted on in a panic after the first outage.

    Messy records, missing fields, duplicate events. The stuff that actually breaks real workflows, not the tidy demo data.

When n8n isn’t the best fit

  • Your team wants to build their own automations with no technical help at all. Zapier is friendlier for that, even if it stings more at volume.
  • You’ve got one or two simple automations that already work fine. Leave them exactly where they are.
  • You’re planning to embed n8n inside a product you sell. That opens up licensing questions; see the FAQ just below.

Questions people ask us

n8n, Zapier or Make: which should I use?

Zapier is the easiest for simple, quick setups. Make handles complex scenarios visually at a fair price. n8n suits teams that want more control, custom code, self-hosting and a far lower bill at high volume; it just asks for a bit more technical skill to run it well.

Is n8n free?

The source is available under a fair-code licence. Self-hosting it for your own internal business use is fine, and n8n Cloud is a paid subscription. Reselling n8n, embedding it in a product you sell, or offering it as a hosted service needs a commercial licence, so check n8n’s current terms before you build a product on top of it.

Should we self-host or use n8n Cloud?

Cloud is simpler: there’s no server for anyone to babysit. Self-hosting gives you control over where the data lives and lower running costs at scale, but it needs someone to maintain it. We’ll recommend one based on your volume, your security needs, and honestly, who’s going to own it day to day.

Can you migrate our Zapier or Make automations?

Yes. We take stock of what you’ve got, rebuild it in n8n, run both side by side to check the results line up, then switch over. More often than not we end up retiring a few automations nobody actually needs any more along the way.

Can n8n run AI agents?

Yes. It has nodes for language models, tools and memory, which makes it a genuinely practical place to build agents that read data, call APIs and take action. We put limits and logging around them so they stay predictable.

How do you stop workflows from breaking silently?

Every workflow reports its failures to a central error workflow that pings you in Slack or email. On top of that we log the runs, add retries for the flaky APIs, and test with awkward data before anything goes live.

Is it secure?

Credentials live in n8n’s encrypted store, access is limited by role, self-hosted instances sit behind HTTPS with regular updates, and each workflow only gets the permissions it genuinely needs.
